Important: SeniorTripHQ is a software tool only. We are not a travel agency, tour operator, transportation provider, or event organizer. We do not book travel, reserve hotels, purchase tickets, or arrange transportation. All actual trip planning, booking, and execution is the sole responsibility of the school and its authorized personnel.
SeniorTripHQ offers two subscription plans:
All payments are processed by Stripe. By subscribing, you authorize SeniorTripHQ to charge your payment method for the applicable subscription fee. Monthly plan subscribers authorize recurring monthly charges.
We offer a 30-day money-back guarantee. If you are not satisfied with SeniorTripHQ within 30 days of your initial purchase, contact us at hello@seniortriphq.com for a full refund. After 30 days, subscription fees are non-refundable.
For monthly plans, you may cancel at any time. Cancellation stops future charges but does not entitle you to a refund for the current billing period.
We reserve the right to change subscription pricing with 30 days notice to existing subscribers. Price changes do not affect the current subscription period.

When student data is entered into SeniorTripHQ by a school or its authorized personnel, SeniorTripHQ acts as a "school official" under FERPA with a legitimate educational interest. We handle student data in accordance with FERPA requirements and our Privacy Policy.
Schools retain ownership of and responsibility for student education records entered into the platform. Schools are responsible for ensuring appropriate authorization before entering student data.
SeniorTripHQ uses artificial intelligence to search for travel pricing information. Regarding AI features:
You retain ownership of content you upload to SeniorTripHQ, including photos, documents, and other materials. By uploading content, you grant SeniorTripHQ a limited license to store, display, and transmit that content as necessary to provide the Service.
We do not claim ownership of your content and will not use it for marketing purposes without explicit permission.

SeniorTripHQ is a software platform only. We are not responsible for any aspect of the actual trip including but not limited to: transportation, accommodation, activities, safety, weather, cancellations, or any incidents that occur during the trip. All trip-related decisions and bookings are the sole responsibility of the school and its authorized personnel.
We strive to maintain platform availability but do not guarantee uninterrupted access. The Service is provided "as is" without warranty of any kind. We disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose, and non-infringement.
To the maximum extent permitted by law, SeniorTripHQ's total liability for any claims arising from use of the Service shall not exceed the amount paid by you for the Service in the 12 months preceding the claim. We are not liable for any indirect, incidental, special, consequential, or punitive damages.
Travel pricing displayed in the platform is generated by AI search and is for estimation purposes only. SeniorTripHQ makes no warranties regarding the accuracy or timeliness of pricing information. Always verify prices directly with vendors before making any commitments.
You agree to indemnify and hold harmless SeniorTripHQ, its officers, directors, employees, and agents from any claims, damages, losses, and expenses (including reasonable attorney's fees) arising from: (a) your use of the Service; (b) your violation of these Terms; (c) your violation of any third-party rights; or (d) any trip-related incidents or activities.
You may cancel your subscription at any time by contacting hello@seniortriphq.com. Cancellation takes effect at the end of the current billing period.
We may suspend or terminate your account if you violate these Terms, engage in fraudulent activity, or use the Service in a manner that harms other users or the platform. We will provide notice before termination except in cases of serious violations.
Upon termination, your access to the Service ends. We will retain your data for 90 days following termination, during which you may request an export. After 90 days, your data will be permanently deleted.
These Terms are governed by the laws of the United States. Any disputes arising from these Terms or use of the Service shall be resolved through binding arbitration in accordance with the American Arbitration Association's rules, except that either party may seek injunctive relief in court for intellectual property violations.
You waive the right to participate in class action lawsuits related to the Service.
We may update these Terms from time to time. We will notify school administrators of material changes by email at least 30 days before they take effect. Continued use of the Service after changes take effect constitutes acceptance of the updated Terms.
